Privacy Policy

Last updated: 19 October 2026

Privacy isn't a box we tick at Covenant Defence. It's the reason we exist. We protect other people's information for a living, so we try to treat yours the way we'd want ours treated: carefully, and without any nasty surprises.

This page explains, in plain English, what we collect through this website, what we do with it and what you can ask us to do about it. We're based in Ballarat, Victoria, and we follow the Australian Privacy Principles in the Privacy Act 1988 (Cth) and the Spam Act 2003 (Cth).

1. What we collect (not much, promise)

When you send an enquiry, book a consultation or get in touch, we may collect:

  • your name and business name
  • your email address and phone number
  • the service you're interested in, and whatever you tell us in your message
  • whether you'd like to hear from us by email in future
  • your booking details, like the date and time you pick

That's it. We don't ask for payment details, government ID numbers or other sensitive information through this website, so please keep them out of your message. Nothing personal to share? Then we'll get along fine.

2. What we do with it

  • Reply to your enquiry and set up a chat, if you'd like one
  • Work out what you need and put together a sensible proposal
  • Send you the occasional email about our products and services, but only if you said yes
  • Keep proper records of our dealings with you and meet our legal obligations

What we don't do: sell your details, trade them or hand them to people who'll bury you in ads. Never have, never will.

3. Emails from us (only if you want them)

We only send marketing emails if you've ticked the box on our form to say it's okay. Each one says who it's from and has an unsubscribe link, so you can leave whenever you like, no hard feelings. You can also tell us at [email protected] and we'll take you off the list. Not ticking the box won't change how we respond to your enquiry.

4. Who else sees it

We don't do everything by hand, so a trusted provider helps run our website, forms and bookings. That includes HighLevel, which provides our enquiry form, booking calendar and customer records. These providers handle your information for us, and they may store it on servers outside Australia, including in the United States. We take reasonable steps to make sure they look after it properly.

We may also share information if the law requires or allows it, or if you ask us to. We don't pass it to anyone for their own marketing.

5. How we keep it safe

Keeping things safe is kind of our thing. We take reasonable steps to protect personal information from misuse, loss and unauthorised access, including access controls and well-secured platforms. We only keep your enquiry details for as long as we need them for the reasons above, or to meet legal requirements. After that, we delete them or strip out anything that identifies you.

If something ever goes wrong and it's likely to cause serious harm, we'll tell the people affected and the Office of the Australian Information Commissioner, as the law requires.

6. Your rights: look, fix, delete

It's your information, so you're welcome to ask us to show you what we hold, correct anything that's wrong or delete it. Just email [email protected] and we'll get back to you within a reasonable time, usually within 30 days. We might ask you to confirm who you are first. (We'd hate to hand your details to someone pretending to be you.)

7. Cookies

This website may use basic cookies or similar tools that it and our embedded forms need to work. You can manage cookies in your browser settings. Our form and booking calendar come from third parties, so they may set their own cookies too.

8. Something not right?

If you're unhappy with how we've handled your information, please tell us at [email protected] and we'll look into it and reply. If you're still not satisfied, you can take it to the Office of the Australian Information Commissioner at oaic.gov.au.

9. If we change this page

We might tweak this policy now and then. The latest version always lives here, with the date up the top, so you can see when it last changed.

10. Say hello
